Booking Note Form
The booking note form is the same for both roles and for all three creation methods. What changes is which fields are locked, and whether a source panel appears beside it.
The top of the page
The page is titled Booking Note. At the top right, a menu holds the actions available for the note at its current status, including Duplicate. See Using the Requests List
File Information
The first section, collapsed by default. It shows the current Status as a badge and holds the note's file-level detail. Expand it to check where the booking note stands. See What Each Status Means.
The four sections
Each section can be collapsed with the arrow on its right, which helps on a long booking note when only one part needs attention.

The Cargo section header carries two running totals, Total Weight (kgs) and Total Volume (CBM), summed across every cargo entry and updated as values are entered.
Required fields
A red asterisk next to a label means the field is required before the note can be submitted. Mandatory fields are enforced at submission, not during entry, so an incomplete note can be saved and returned to later.
Some fields become mandatory only in certain circumstances — marking a cargo entry as dangerous goods adds two required fields to that entry. See Dangerous Goods.
The document or email alongside
When a booking note was created from an upload or an email, the source is displayed alongside the form:
- Upload — the uploaded document.
- Email — the subject, sender and body of the email.
The panel is read-only. It scrolls independently of the form, so the relevant part of the source can stay in view while the fields are worked through. This is what makes checking extracted data practical: the two sit side by side rather than requiring switching back and forth.
Manually created booking notes have no source, so no panel appears and the form uses the full width.
The buttons at the bottom

When the form cannot be edited
The form displays but cannot be edited when the booking note is Approved, Rejected, or Processing, and when a Shipper is viewing their own booking note in Pending Review. In these cases no editing or saving controls appear.
To change something on a read-only note, duplicate it. The duplicate is a new, editable booking note and the original stays as it is. See Using the Requests List.
