Navigating the Booking Notes Module

Where to find it

Booking Notes sits in the left sidebar of Open Nexus. Selecting it expands two sub-items:

  • Overview — a dashboard of counters and recent activity. This is where the module opens by default.
  • Requests — the full, searchable list of every accessible booking note.

The organization in use is shown at the top of the sidebar, above the menu. It determines the role, and therefore what appears inside the module. See Roles and Permissions.

Which page to use

Overview shows where things stand and what needs attention. It is a summary, deliberately short, and it only shows recent items.

Requests is for finding something specific, working across many records, or exporting data. Everything accessible is in this list, and it is the only place with search, filters, saved views and export.

Opening a booking note

There are several routes into an individual booking note:

  • Select the Portal Booking ID in the Requests list. It is a link.
  • Select the View icon at the end of a row in the Requests list.
  • Select the Open in a separate window icon to open it without leaving the list.
  • Select a row in either table on the Overview page.
  • Select a notification about that booking note. See Notifications.

Closing a booking note

The booking note form has three controls at the bottom:

ControlPositionWhat it does
BackBottom leftReturns to the previous page. Unsaved changes are not kept.
Save & ExitBottom rightSaves and returns to the list. The note stays in Draft.
SubmitBottom rightValidates the form and sends the booking note for review.

For a booking note that is part way through and not ready to submit, use Save & Exit. The work is kept and the note can be picked up later from the Requests list. See How to Submit a Booking Note.
